Your safety is our only priority during CI 2021. To create a safe conference experience for our attendees and staff, Gallery Systems is developing strict safety protocols with the hotel and conference venue. These measures will be updated and refined to reflect the CDC’s latest recommendations and guidelines.

Gallery Systems is closely monitoring the developments of the Coronavirus (COVID-19) pandemic. As the situation evolves, we are prepared to make adjustments to our conference to ensure your continued safety and comfort. We will update this page as new information becomes available.

Conference Safety FAQ

Will you be hosting an in-person event if the COVID-19 pandemic is still ongoing?

Gallery Systems postponed Collective Imagination 2020, scheduled for November 16 – 20, 2020, to prioritize the health and safety of our clients and staff. Going forward, we will continue to align our event plans with the United States’ Centers for Disease Control and Prevention (CDC), as well as state and local guidelines to ensure your safety.

While current regulations would not support an event of Collective Imagination 2021’s size, we expect significant changes by mid-November and will continue to monitor the situation closely. Should modifications to our conference become necessary due to changing safety requirements, Gallery Systems will respond immediately and communicate with our registrants.

How will you manage social distancing during Collective Imagination?

As per CDC guidance, overall attendance will be limited to enable attendees to be a minimum of six feet from one another. Additionally, as event organizers, we will:

  • Require that Collective Imagination 2021 be a handshake-free conference. We recommend alternate greetings, such as the wave, the peace sign, the Shaka, Namaste, the Vulcan salute, or a nod.
  • Require all attendees to wear masks covering their noses and mouths. We will monitor proper usage.
  • Initiate contactless badge pick-up and registration. Touch-free pick-up will be done with the help of a mobile event app.
  • Allow for social distancing by limiting seating capacity or hosting smaller events in larger rooms.
  • Eliminate lines and queues whenever possible. Encourage attendees to stay at least 6 feet apart by providing signs or other visual cues, such as tape or chalk marks.

If I need to cancel my registration due to travel restrictions or COVID-19, will I get a full refund?

Should you need to cancel, the Collective Imagination Refund Policy will apply: 100% refund until July 1, 2021, 50% refund thereafter.

Should recommended health and safety guidelines change, we will promptly inform you of the next steps. For instance, if CI 2021 must be postponed, all registration and workshop tickets will be honored at the future date. If you prefer to be refunded, you will have the option to request a full refund.

How will the conference hotel handle guests health and safety?

Gallery Systems is working with the Royal Sonesta Washington DC hotel & conference venue to develop safety protocols. These are some of the health measures we are putting in place for Collective Imagination 2021:

  • Post safety guidelines throughout conference areas.
  • Provide extra cleaning and sanitation stations as per CDC requirements.
  • Ensure meeting rooms are cleaned and sanitized frequently.
  • Require temperature checks upon entry.
  • Block off rows or sections of seating to space attendees at least 6 feet apart.
  • Make available multiple entrances and exits and discourage crowded waiting areas.
  • Manage meals to adhere to health and safety requirements and minimize risk to attendees.
  • Limit the number of people who occupy the restrooms at one time to allow for social distancing.
  • Provide physical guides where feasible on site, such as wall signage and tape on floors or sidewalks, to ensure individuals remain at least 6 feet apart.

What other measures has the Royal Sonesta Washington DC put in place?

Sonesta has designed a new health and cleanliness program for all its U.S. hotels. Stay Safe with Sonesta meets or exceeds applicable CDC and/or requirements related to the Coronavirus pandemic and will be continually updated as the situation evolves.

On top of requiring all guests and staff to wear face coverings in all indoor public areas, the program includes:

  • Increased public area cleaning and sanitizing
  • Improved guest service measures
  • Enhanced guest room cleaning and sanitizing protocols
  • Reinforced meeting and event space protocols
  • Intensified team member safety and preparedness
